Employee Directory
Keep a private directory of employees with role and status.
Overview
The Employee Directory is a private people list for small businesses, agencies, and startup teams that need a clean snapshot of who works there. Each person has a name, role, email, phone, start date, manager, location, and current status (active, on leave, or departed). It is the contact book and headcount roster rolled into one screen, without the formality of an HR platform.
A small company often runs for years on a single spreadsheet maintained by whoever joined first, and that spreadsheet rots fast. The directory replaces that pattern with a structured, searchable record you can keep current in seconds. It is especially useful for owners and managers who need to know exactly how many people are on payroll, who reports to whom, and how to reach anyone in an emergency.
How it works
You add a person by filling in their core details and saving the record. The list is filterable by department, location, manager, and status, and the search bar covers every text field. As people move between roles or teams, you edit their record; when someone leaves, you mark them as departed rather than deleting, which preserves the historical headcount.
The directory pairs well with the Hiring Pipeline (which feeds new hires in) and the Leave Tracker (which records absences against the same people). Together they give a small operations team the visibility a much larger HRIS would.
Examples
- Onboarding day. Add the new hire's record, set their start date, and link them to a manager so they appear in reporting structures immediately.
- Org chart prep. Filter by manager to draft a clean reporting tree before a leadership offsite.
- Headcount check. Count active employees by department to confirm the budget line matches reality.
- Reachability roster. Export contact details for an on-call rota or emergency contact list.
FAQ
Is this a replacement for an HR information system?
No. It is a private directory. Payroll, contracts, performance ratings, and benefits belong in dedicated HR systems.
Can employees update their own record?
Not directly. The directory is maintained by the owner of the tool; share a form or message if you need an employee to confirm details.
How do I mark a contractor versus an employee?
Use the role field or a tag to distinguish them, since the data shape is the same.
What about photos?
The directory is text-only. Link to a shared photo folder in notes if you need faces.
How private is the data?
It is stored locally in your browser session and not synced elsewhere.
