Invoice Generator
Create and download PDF invoices for saved clients.
Overview
The Invoice Generator turns a saved client and a few line items into a professional PDF invoice ready to send. Pick the client, add the products or services you are billing for, set the date, set the due date, attach any tax or discount lines, and download a clean rendered document. It is built for freelancers, agencies, consultants, and small businesses that want to invoice quickly without learning a heavy accounting platform.
The tool integrates with the Client List and Payment Tracker so the same client record drives every invoice and every payment received against it shows up in one place. That means no copy-pasted addresses, no duplicated tax IDs, and no manual reconciliation of who has paid what. You can mark an invoice as draft, sent, paid, or overdue and watch the status flow through your records.
How it works
You start by selecting a client from the saved list. Add line items with descriptions, quantities, unit prices, and optional tax rates. The tool calculates subtotals, tax, and the grand total as you type. Set an invoice number, an issue date, and a due date; an optional notes section captures payment terms or thank-you messaging.
When you download, the invoice is rendered to a polished PDF with your business details, the client's billing address, the line items, and a clear amount due. Mark the invoice as sent after you email it, and as paid when the funds arrive (or log a partial payment through the Payment Tracker).
Examples
- Freelance project. Bill 32 hours of design work at a fixed rate plus a software reimbursement line item, due on net-14 terms.
- Retainer client. Issue a monthly invoice for a fixed amount and a variable line for additional services delivered that month.
- Product sale. Sell a piece of equipment to a corporate client with a discount line and the correct VAT rate.
- Late payer. Reissue an invoice with a fresh due date and a polite reference to the original number for clarity.
FAQ
Can I customise the PDF design?
Branding fields like business name, address, and logo are pulled from your settings. The layout itself is fixed for consistency.
Does the tool send the invoice for me?
No. It generates the PDF; you send it through your email or accounting workflow.
Can I attach a payment link?
Add the payment URL to the notes or footer so it appears in the PDF.
What tax rates are supported?
You set rates per line item, so any percentage works. Use the notes for special tax statements your jurisdiction requires.
How are invoice numbers assigned?
You choose the format. Many users adopt a year-and-counter pattern like 2026-001 to keep numbering predictable.
